As a BBQ is very difficult to manage in this short timeframe, there's suggestions to use a private dinner format instead of a BBQ ..
However, for dinner, it might make sense to reduce the number from our current estimate of 75/80 to some lower number which fits some of this criteria
1 - number must be more than total number of core organizers and total number of volunteers 2 - number must be realistic, that we are sure that all who are invited to attend the dinner, will attend. 3 - number*costperhead must not cause cost increment
We will produce some sort of access pass/invitation card for those who are invited to attend this dinner and it will be given away during fudcon.
How about providing simple food and also something more delighting where it's chargeable, this way, they have a choice and we don't limit the guest, have a feeling it might be more.

we need to keep the cost predictable , so fluid about is bad ..
