In the last APAC meeting [1], we decided to use APAC Trac for accepting media requests.
We currently have 2,000 F21 Workstation DVDs and 500 Server DVDs in Singapore ready to distribute to APAC countries (China and India have their owned ones). Please submit your request to APAC Trac [2] with your detailed shipping address asap.

Fedora release cycle is 6 months but Fedora APAC take more more than 6 months to plan, produce and distribute Fedora media within the region. This is the true... what a shame!
Why we should create a ticket again? I was waiting for everyone to fill the wiki page as we can distribute remaining DVDs fairly.
But only two communities (except Indian and China, as they already have DVDs) has been filled the wiki [1]
I was planning to take bunch of DVDs to Sri Lanka before vacation start but I came back after two weeks of my vacation and next month I will take my next vacation.
We should not bother EMEA guys to produce DVDs and send them to APAC if we really don't need DVDs.

I'll take part of the blame for this since I was responsible for printing the server DVDs. It took me longer than necessary to get a vendor for the DVD sleeves, but that is now sorted out (mostly in my head since I was trying to be too smart to save money by choosing different vendors for DVDs and sleeves. That didn't work.) and F22 should hopefully be a different story.

This was suggested and agreed upon in the last meeting because the wiki page method doesn't scale. I don't think looking for 'fairness' in this distribution is necessary. just a hint, sending DVD who wants now isnt that good, we did that in earlier time in EMEA and then when we had an event we tried to collect leftovers from them we did send it before. We did in Phnom Penh that nice event planning, so go over it and look where how many DVD will be needed and the event owner should request them a while before the event otherwise you will face the same problem we had.

In my understandings, the process is: 1. People submit a request once they have an event. 2. Media is shipped from nearest stock. 3. People send back leftovers.
Is that right?
The problem is shipping cost in APAC is high. It costed me about $40 to send a dozen of DVDs and some swag to Phnom Penh.
So I think the process could be changed to: 1. From the event list, people can roughly calculate the total they needs. 2. Then they submit a request to order them.
In this case, people would break down they need how many DVDs per each event. Is that better?

When I mention APAC, it was about all of us in APAC not just you. :) Once the DVDs reached to Singapore from both India and EMEA why we could not give a list to Harish?
I don't mind which tool we use but we can ask each community to update the wiki and we can easy get a picture of how much community requested and how much we should produce instead of one or two guys keep checking on tickets.
Imagine if you handle budget estimation and allocation via ticket system? Once you have allocation you can use ticketing system. Otherwise we have to wait for weeks till someone work on a ticket.
Best way is to have both budget and DVD request ready from each country. Its matter of adding an additional column (against each event) to budget planning wiki page. This can be done either country wise or as region (APAC).
And next thing is we should not wait till next APAC meeting if we have to do something. Only Myanmar and Sri Lanka community (not applicable for India and China) filled wiki though I requested.
At least for this time we should distribute all the DVDs before F22 release as there is no point in keeping hundreds of DVDs remain in a box.

Danishka, I am not sure you understood Siddhesh's message. However, I try to clarify something here from my understandings both yours and Siddhesh's.
The first thing is Siddhesh tried to produce media at this time in India and it is cheaper than producing more with EMEA and sending them to APAC.

I wished we we could do that. However, you know, APAC ambassadors usually response slowly. In fact, I have tried to clarify this picture for years but there is no clear (enough) result. I agree with Siddhesh, we should do this way a few times then we can have the number closer and closer. This time is the first time we try to produce media in massive way for the whole APAC region. We will improve it next times. Personally, I am really tired of waiting for all people's responses. It's best to do it from historic numbers.

Why?
The people at the central stock (in this case, they are Harish with support from Singpore contributors, including you) can process that ticket once it opened and reviewed by the community. I propose this process: * Each country (preferable) or person can open a ticket to request for the quantity of media once they need. * Regional ambassadors can review, comment, etc. during (e.g.) 3 days. * If it is passed 3 days review (without any objections), it is approved. * One person at nearest stock confirm to serve that ticket (stock could be the produced location or the location where with some leftovers from previous events, just the nearest and serviceable at that time). He/she will mark it as "approved" and assign to him/herself. * He/she sends media to the shipping address noted in ticket, marks "sending". * The requester receives media and marks the ticket as "close".
If this draft process works fine, we can change it a bit and try it.

During the Budget planning there was no funds to Sri Lanka and I did not listed any events not required a budget. And now Tuan questioning about to why I need DVDs. [1]
Anyway, I will collect few DVDs from Harish if something leftover from DVDs produced for the Fedora 21 release in Singapore.
